Appointment enquiries
Our enquiry forms ask for your name, email address, telephone number where supplied, clinic or practitioner choice, and your message. The website form system also records the submission date and time and may record your IP address. We use this information to respond to your request and arrange the next step in your enquiry.
The information you submit is stored in our website’s form system and sent by email to the business inbox or the practitioner named on the form. Some practitioner enquiry forms also send a copy to the business inbox. The main Contact Us form sends enquiries to info@neijingacupuncture.com. Enquiries also go to Zoho CRM, which we use to manage enquiries.
Please include only what is needed for your initial enquiry. Avoid sending detailed medical history or sensitive documents through an appointment-enquiry form. These forms are for non-urgent enquiries. For urgent health concerns, contact an appropriate medical service.
How long website enquiry entries are kept
Entries submitted through the main Contact Us form are automatically deleted from the website’s form system once they are at least 365 days old. Deletion runs through the website’s daily scheduled task, so an entry may remain for up to about one further day.
This automatic deletion rule applies only to the main Contact Us form entry and its associated uploaded files. It does not delete copies already sent by email or held in Zoho CRM, backups, or clinical records. Automatic deletion is not currently configured for the separate practitioner and Free Consultation enquiry forms, the AcuSounds form, or the signed participant intake and consent form. Contact us or your practitioner to ask about those records or request deletion where applicable before providing clinical details.
Clinical intake information
Clinical intake and signed consent forms are separate from an initial appointment enquiry and can contain health information. Before providing clinical details, ask the practitioner handling your care how that information will be used, who can access it, and how long clinical records are kept.
Journal comments and newsletter links
Where a Journal comment form is available, it asks for your name, email address, optional website address and comment. A comment can be published with the name and website you supply; the email address is not published with it. The form offers a choice to remember those details in your browser for your next comment. The website’s spam-protection tools may check a comment submission.
The newsletter sign-up link opens an external sign-up page. Check the privacy information on that page before entering your details.
Cookies, statistics and third-party services
The website uses essential functions, a consent-preference system, Google Analytics for website statistics and Google Tag Manager for marketing tags. Some pages also contain Google Maps. Our enquiry forms use reCAPTCHA for spam protection.
You can accept or deny optional cookies, or choose statistics and marketing preferences, using the consent banner. Use the Manage consent control to change your choice later. Continuing to browse does not replace that choice.
Third-party services have their own information about how they handle data. You can read Google’s Privacy Policy and Terms of Service. Following a link to another website takes you to a service with its own privacy practices.
Privacy questions and your rights
Contact info@neijingacupuncture.com to ask about your information or request access, correction or deletion. Depending on the processing and the applicable law, you may also have rights to restrict processing, object to it, or receive a portable copy. Where processing relies on consent, you can withdraw that consent. These rights can be subject to legal conditions and record-keeping duties.
You can object to the use of your information where the applicable right to object applies. Tell us what processing your request concerns so we can respond appropriately.
You can also raise a concern with the UK Information Commissioner’s Office or the supervisory authority where you live or work, as applicable.
